Welcome.
Thank you for choosing to work with Primal Life Coaching & Mentoring.
I'm grateful that our paths have crossed. Coaching is a collaborative relationship founded on trust, curiosity, honesty, and mutual commitment. This agreement establishes our shared expectations so that we can work together with clarity, professionalism, and respect.
Please read this agreement carefully before beginning coaching. If you have any questions, I encourage you to ask before signing.
Purpose of Coaching
Primal Life Coaching & Mentoring exists to support your growth in life, learning, leadership, and wellbeing through conversation, reflection, practical application, and meaningful action.
Coaching is intended to help you:
Clarify goals and priorities
Develop greater self-awareness
Build practical habits and skills
Navigate challenges and transitions
Strengthen resilience and confidence
Align your actions with your values
Cultivate greater participation in your own life
Coaching is a collaborative process. Rather than providing all the answers, my role is to help cultivate the conditions that support your own learning, growth, and wise decision-making.
Our Coaching Relationship
Coaching is a partnership.
As your coach, I will strive to provide:
A safe and respectful environment
Honest observations and thoughtful questions
Practical guidance and encouragement
Accountability appropriate to your goals
Professionalism and confidentiality
Respect for your autonomy and values
As the client, you agree to:
Participate honestly and actively
Communicate openly
Complete agreed-upon practices when possible
Respect our scheduled appointments
Take responsibility for your own decisions and actions
Coaching works best when both coach and client participate fully in the process.
Scheduling
Sessions are scheduled by mutual agreement.
Please arrive on time and prepared.
If you arrive late, your session will generally conclude at its originally scheduled ending time unless we have made prior arrangements.
Cancellation & Rescheduling
I understand that unexpected events occasionally occur.
If you need to cancel or reschedule a session, please provide as much notice as possible.
The following cancellation policy applies:
Notice Fee
More than 24 hours no charge
12–24 hours 25% of session fee
4–12 hours 50% of session fee
Less than 4 hours or no-show 100% of session fee
These policies help protect reserved appointment times while allowing reasonable flexibility whenever possible.
Coaching Packages
Coaching packages are designed to encourage continuity and meaningful progress.
Unless otherwise agreed:
Packages should begin within one year of the original purchase date.
Coaching packages are intended to continue through regular participation.
Packages expire two months after the last attended session unless we have mutually agreed to pause your program due to special circumstances.
Fees & Payment
Payment is due according to the coaching package or service selected.
Payment is due at the time of booking.
Sales tax (Washington residents) and transaction fees are included in pricing.
A sliding scale option may be available.
Terms of Service:
Coaching sessions that are not rescheduled or canceled 24 hours or more in advance will result in cancelation fees.
Clients arriving late will receive the remaining scheduled session time unless other arrangements have been previously made with the coach.
Pre-payed coaching sessions or packages must be started within one year of the first payment date.
Coaching package agreements require consecutive monthly participation and shall expire within two months of the last session attended by the client unless arrangements are made with the coach to pause the program.
No refunds will be issued for any reason, including but not limited to relocation, illness, and unused sessions. The coach may reschedule and refund at any time.
The coach may offer discounts, adjust rates, or add time to sessions at any time.
Additional fees may apply for:
Travel to client locations
Facility or studio rental fees
Special workshops or events
Current pricing will always be communicated before services are provided.
I reserve the right to adjust pricing, offer discounts, or provide additional coaching time at my discretion.
Refund Policy
Because coaching reserves dedicated time and preparation, payments are generally non-refundable.
Exceptions may be made at my sole discretion in extraordinary circumstances.
Communication Between Sessions
Reasonable communication between sessions is welcome for:
Scheduling
Brief questions
Clarification of assignments
Sharing relevant resources
Extended coaching outside scheduled sessions may require an additional appointment or fee.
Professional Boundaries
Coaching is a professional relationship.
While our conversations may involve deeply personal topics, coaching is distinct from friendship, psychotherapy, counseling, medical care, legal services, or financial advising.
When appropriate, I may recommend consulting another qualified professional whose expertise better serves your needs.
Client Responsibility
You remain fully responsible for:
Your decisions
Your actions
Your physical and emotional wellbeing
Seeking appropriate healthcare when needed
Determining how you apply ideas discussed during coaching
No guarantees are made regarding specific outcomes, as meaningful growth depends upon many factors, including your own participation and commitment.
Outdoor & Experiential Coaching
Some coaching sessions may include optional outdoor meetings, walking sessions, nature-based experiences, movement, practical skill development, or other experiential learning activities.
Participation in these activities is always voluntary.
Clients are responsible for:
Wearing appropriate clothing and footwear
Bringing necessary water or personal supplies
Informing me of any relevant health conditions or limitations
Working within their own abilities
Additional information regarding physical participation is described in the Waiver & Assumption of Risk.
Confidentiality
Confidentiality is fundamental to our coaching relationship.
Information shared during coaching will remain confidential except where disclosure is required by law, including situations involving imminent risk of serious harm, suspected abuse or neglect where reporting is legally required, or valid legal orders.
Further details regarding record keeping and personal information are described in the Privacy Policy.
Ending the Coaching Relationship
Either of us may end the coaching relationship at any time.
Whenever possible, I encourage discussing the decision together so we can bring our work to a thoughtful and respectful conclusion.
Unused sessions will be handled according to the terms of your coaching package.
Entire Agreement
This Coaching Agreement, together with the Scope of Practice & Informed Consent, Waiver & Assumption of Risk, and Privacy Policy, constitutes the complete understanding regarding our coaching relationship.

Purpose
Welcome to Primal Life Coaching & Mentoring.
This document explains the nature and scope of the coaching relationship so you can make an informed decision about participating. My goal is to establish a shared understanding of what coaching is, what it is not, and what you can expect as we work together.
My Approach
Primal Life Coaching & Mentoring is a collaborative process designed to support growth in life, learning, and leadership.
My work integrates evidence-informed coaching practices with nature-based mentoring, experiential learning, reflective dialogue, practical skill development, and whole-person growth.
While every coaching relationship is unique, our work together may include:
Clarifying values, goals, and direction

Exploring relationships and communication
Leadership and personal development
Nature connection and ecological awareness
Reflective, philosophical, or spiritual conversation when appropriate and welcomed by the client
Coaching is not about giving you all the answers. Rather, it is a collaborative process that supports your own capacity to think clearly, make wise decisions, and live more intentionally.
Scope of Practice
As a coach and mentor, I provide educational, developmental, and supportive services.
My role is to facilitate learning, encourage growth, offer perspective, ask thoughtful questions, provide accountability, and share relevant knowledge and experience when appropriate.
Coaching may include conversation, reflection, goal setting, practical exercises, recommended readings, nature-based experiences, movement, observation, journaling, skill development, and other learning activities tailored to your goals.
No particular method or outcome is guaranteed, and each coaching relationship is adapted to the unique needs and interests of the client.
What Coaching Is Not
Although coaching often has positive effects on wellbeing, it is not a substitute for professional healthcare or other licensed services.
I do not provide:
Psychotherapy or counseling
Mental health diagnosis or treatment
Medical diagnosis or treatment
Physical therapy or rehabilitation
Nutritional counseling or medical nutrition therapy
Legal advice
Financial or investment advice
Crisis intervention
Emergency services
If concerns arise that fall outside my professional scope, I may recommend consultation with an appropriately qualified healthcare provider or licensed professional.
Your Role as the Client
Coaching is most effective when it is an active partnership.
As the client, you remain responsible for:
Your own decisions
Your actions
Your physical and emotional wellbeing
Communicating your needs and concerns
Seeking appropriate medical or mental health care when necessary
Determining how you apply the ideas and practices discussed during coaching
While I may offer observations, guidance, education, and encouragement, all decisions remain your responsibility.
Physical and Outdoor Activities
Some coaching sessions may include optional experiential activities such as:
Walking meetings
Nature immersion
Movement practices
Breathwork
Primitive or traditional skills
Martial arts concepts
Practical outdoor learning
Participation in these activities is always voluntary.
You are responsible for informing me of any medical conditions, injuries, allergies, physical limitations, or other concerns that may affect your participation.
You are encouraged to work within your own abilities and may decline any activity at any time.
Specific risks associated with physical or outdoor activities are addressed in the separate Waiver & Assumption of Risk document.
Confidentiality
Your privacy is important.
Information shared during coaching will be treated confidentially except where disclosure is required by law, including circumstances involving imminent risk of serious harm, suspected abuse or neglect where reporting is legally required, or other legal obligations.

Voluntary Participation
Participation in coaching is entirely voluntary.
You may discontinue coaching at any time.
Likewise, I reserve the right to discontinue or decline coaching if I believe the relationship is no longer appropriate, productive, or within my professional scope of practice. Whenever possible, I will discuss this decision with you and, when appropriate, recommend alternative resources.
Potential Benefits and Limitations
Clients often seek coaching to gain greater clarity, develop new skills, strengthen relationships, improve wellbeing, navigate transitions, or pursue meaningful goals.
While many clients experience significant personal growth, coaching outcomes vary from person to person.
Because coaching is a collaborative process, no specific results or outcomes can be guaranteed.
Informed Consent
By choosing to participate in Primal Life Coaching & Mentoring, you acknowledge that:
You have read and understood this Scope of Practice & Informed Consent.
You understand the nature and purpose of coaching and mentoring.
You understand that coaching is not healthcare, psychotherapy, or another licensed professional service.
You voluntarily choose to participate in coaching.
You understand that you remain responsible for your own decisions, actions, and wellbeing.
You have had the opportunity to ask questions before beginning coaching.

These records are retained only as long as reasonably necessary for professional, business, legal, or tax purposes and are then securely destroyed.
Electronic Communication
Email, text messaging, video conferencing, and online scheduling provide convenient communication but cannot be guaranteed to be completely secure.
By choosing to communicate electronically, you acknowledge these limitations.
Please avoid sending highly sensitive medical or personal information through unsecured email whenever possible.
Third-Party Services
Primal Life Coaching & Mentoring may use trusted third-party services to support business operations, such as:
Scheduling software
Video conferencing platforms
Payment processors
Email providers
Form and intake software
Website hosting
These providers maintain their own privacy and security practices.
Your Rights
You may request to:
Review information I maintain about you
Correct inaccurate information
Withdraw consent for future communications
Request deletion of information where legally permissible

Certain records may need to be retained to comply with legal, tax, insurance, or professional obligations.
Photography & Media
Photographs, audio recordings, or video recordings will not be made during private coaching sessions without your permission.
If photographs or video are taken during workshops, classes, retreats, or public events, separate permission will be requested whenever appropriate.

This Privacy Policy may be updated from time to time as services evolve or legal requirements change.

Waiver & Assumption of Risk
Purpose
This Waiver & Assumption of Risk is intended to help you make an informed decision about participating in Primal Life Coaching & Mentoring.
While many coaching sessions take place through conversation in an office, online, or by phone, some services may include outdoor meetings, experiential learning, movement, practical skill development, or other activities that involve inherent risks. This document explains those risks and establishes our shared understanding before participation.
Nature of Activities
Depending on your goals and the services you choose, coaching and mentoring may include activities such as:
Walking meetings
Outdoor coaching sessions
Nature connection and awareness practices
Observation and reflection exercises
Breath and mindfulness practices
Primitive or traditional skills
Basic movement or mobility exercises
Martial arts concepts and demonstrations
Educational workshops
Retreats or field-based learning experiences
Not every client will participate in every activity.
Participation is always voluntary.
Assumption of Risk
I understand that participation in outdoor and experiential activities involves inherent risks that cannot be completely eliminated, including but not limited to:
Uneven terrain
Slips, trips, or falls
Weather exposure
Sun, wind, rain, or cold
Insects, plants, wildlife, or environmental allergens
Minor cuts, scrapes, bruises, or sprains
Physical fatigue or overexertion
Travel to and from coaching locations
I understand that these risks exist even when reasonable care is exercised by the coach.
I voluntarily choose to participate with knowledge of these risks.
Voluntary Participation
I understand that:
My participation is voluntary.
I may decline any activity at any time.
I may request modifications or alternative activities.
I am encouraged to work within my own physical, emotional, and psychological limits.
My decision not to participate in a particular activity will not negatively affect my coaching relationship.
Medical Responsibility
I affirm that I am responsible for determining whether participation is appropriate for me.
I agree to inform Benjamin Sanford of any relevant:
Medical conditions
Injuries
Physical limitations
Allergies
Medications that may affect participation
Other concerns that could impact safety
If my health status changes during the coaching relationship, I agree to communicate those changes as appropriate.
Personal Responsibility
I understand that I remain responsible for:
My own decisions
My physical wellbeing
My emotional wellbeing
Wearing appropriate clothing and footwear
Bringing water or other personal supplies when appropriate
Following reasonable safety instructions during activities
Coach Responsibilities
Benjamin Sanford agrees to:
Conduct activities within his training and professional scope.
Exercise reasonable care in planning and facilitating activities.
Encourage clients to participate according to their own abilities.
Respect a client's decision to stop or modify participation.
Recommend referral to another professional when appropriate.
Release of Liability
To the fullest extent permitted by the laws of the State of Washington, I voluntarily release and hold harmless Benjamin J. Sanford, Primal Life Coaching & Mentoring, and any affiliated assistants, volunteers, or landowners from claims arising from ordinary risks associated with my voluntary participation in coaching activities, except where such claims result from gross negligence, reckless misconduct, or intentional wrongdoing.
Nothing in this agreement is intended to waive rights that cannot legally be waived under applicable law.
Emergency Situations
In the event of an emergency, I authorize Benjamin Sanford to contact emergency medical services if, in his reasonable judgment, such assistance is necessary.
I understand that I am responsible for any medical expenses that may result.
Photography & Media
From time to time, photographs or video may be taken during workshops, classes, or community events.
Please select one:
